Sort a messy folder by file type on a Mac

To sort a messy folder by file type, open it in Finder and choose View, Group By, Kind. Every PDF, image, document and disk image lands under its own heading. From there you can select a whole group and move it into a new folder in two steps, so a folder of two hundred mixed files becomes five or six tidy ones.
This works the same way for any folder, including the Desktop and Downloads. The sections below cover sorting, grouping, moving, and keeping the result from collapsing again.
Sort or group, and what each one does
These sound alike but behave differently.
- Sort By, Kind puts files of the same type next to each other in one long list, ordered by kind. You still scroll through a single column.
- Group By, Kind adds a heading for each type and puts the files under it, so you can see the whole shape of the folder at a glance and jump to a group.
Both live in the View menu. Group By works in every Finder view, including icons, list and gallery. If you prefer a list, you can also click the Kind column header to sort by it; click again to reverse the order. If you do not see a Kind column, right-click any column header and tick Kind.
Group By is the better first step for a very messy folder, because the headings show you how many types you are dealing with before you move anything.
Move each type into its own folder
Once files are grouped, you can sweep them into folders without dragging individual items.
- Open the folder and choose View, Group By, Kind.
- Click the first file in a group, then Shift-click the last. Everything between them is selected.
- Choose File, New Folder with Selection. Finder creates a folder, moves the selected files into it and leaves the name ready for you to type.
- Name it, for example “PDFs”, and press Return.
- Repeat for the next group.
Two details save trouble. First, grouping hides nothing, but a very long group may stretch past the screen; scrolling while you hold Shift after the first click is fine. Second, check the group heading before you move it. A group named Document is mixed, since Finder files several formats under that one word; if you want Word files and plain text apart, add a second pass by sorting that group by name or extension.

Pick out one type without moving anything
You sometimes only need to see one kind of file, such as every image in a folder full of mixed work.
- Press Command-F inside the folder, click the Kind drop-down in the search bar and choose a type, such as Image or PDF. Make sure the search is scoped to the current folder.
- For a view you will reuse, choose File, New Smart Folder, click the plus button, and set the first rule to Kind. Save it, and it keeps itself current as files come and go.

A smart folder is only a saved view; the files stay where they are. That makes it a safe way to try an arrangement before you commit to moving things.
The Desktop is a special case
The Desktop uses the same menu, but with a slight twist. Right-click an empty spot on the Desktop and you will see Use Stacks, Sort By and Group Stacks By. Stacks collapses files of one type into a pile at the right edge of the screen. It is a quick visual tidy, but nothing is filed away: the files are still loose on the Desktop.
If you want files off the Desktop for good, use Group By on the Desktop’s own folder in Finder (the Desktop item in the sidebar) and follow the New Folder with Selection steps above.
Tidy a messy folder with an app
The Finder method is fine for a one-off. Keep it from becoming a mess again
A tidy folder drifts back to chaos unless something stops it. A few habits help.
- Change where downloads go. If you often save files to the Desktop, set the browser’s download location to a dedicated folder.
- Name as you save. A name that says what the file is will outlive any sorting scheme. Naming and folder habits that keep a Mac searchable has a simple pattern.
- Set a Group By default. In a folder, choose View, Show View Options, set Group By to Kind and click Use as Defaults if you want every folder of that view type to behave the same way. Use it carefully, because it changes many folders at once.
- Review monthly. Five minutes with Group By on Downloads is easier than an hour once a year.
Questions
Does moving files into folders change the files? No. Finder moves them; the contents and names stay the same. If a move is wrong, Command-Z undoes it straight away.
Will Group By delete or hide anything? No. It only changes how the window displays the items. Switch it off with View, Group By, None.
Why are my images split across several groups? Finder groups by the specific kind, so JPEG image, PNG image and HEIC image can each appear as their own group. Sort by name inside the folder, or use a Smart Folder with the broader Image kind to see them together.
