How to gather files from different folders in one spot
Some tasks are not about one file. They are about six, and the six live in different places. A photo in Downloads, a contract in Documents, an export sitting on the Desktop, two attachments still inside an email, a logo buried three folders deep. You need all of them in one message, one folder, or one upload. Getting them together is the annoying part.
The scatter problem
Files spread out because they arrive from different sources and get saved by different apps. Your browser drops things in Downloads. A design tool exports to wherever you pointed it last. Mail keeps attachments inside the message until you save them. Screenshots land on the Desktop. None of these apps coordinate, so a set of related files ends up scattered across four or five locations with no shared home.
When you finally need them together, you go on a hunt. You open a Finder window, navigate to the first folder, then remember the second file is somewhere else, open another window, and try to keep the whole list in your head. Miss one and you find out only after you have already sent the email.
The usual workarounds and why they chafe
Most people solve this by making a temporary folder. You create “for-client” on the Desktop, drag everything into it one Finder window at a time, use it once, and then it sits there for a month because deleting it feels premature. Multiply that by every multi-file task and the Desktop becomes a graveyard of one-use folders.
The other approach is to open every source app and every folder at once and drag piece by piece into the final destination. This works until the destination only accepts one drop at a time, or until a window you needed slips behind another and you lose your place. Drag and drop wants you to hold the mouse button down for the entire trip, which is fine for one file and miserable for six from six places.
Gather first, send once
A better order of operations is to gather everything into one visible spot first, then send the whole set in a single motion. Collecting and delivering become two separate steps instead of one tangled one.
To gather well you need a place that three things are true about. It has to be reachable from every app, not just Finder, so you can pull an attachment out of Mail and an export out of a design tool into the same place. It has to stay visible while you switch apps, so you can watch the pile grow. And it has to hold a mixed set: a photo, a PDF, a folder, and a link, side by side.
One shelf, many sources
This is what Ledge is built for. A worked example
Say you are putting together everything a new contractor needs. The signed agreement is in Documents. The brand assets are in a folder on an external drive. A welcome note is a file on your Desktop. Two reference screenshots are still in an email thread.
Old way: open four locations, make a “contractor-pack” folder, drag each item in from its own window, then attach the folder, then delete the folder later, maybe. New way: over the course of a minute, drag each item up to the shelf as you come across it, from whichever app you happen to be in. When all five are sitting there, drag the group into the upload in one move. No temporary folder, no leftover clutter, no forgotten attachment.
Keep it tidy afterwards
Because the shelf is a staging area and not storage, the right habit is to clear it once the set has gone where it needs to go. Send the group, then take anything left off the shelf and put it where it lives. The shelf goes back to empty, ready for the next gather.
Collecting files from several folders on a Mac does not have to mean five windows and a throwaway folder. Give the scattered pieces one visible place to meet, watch the pile come together, and deliver it in a single drag when it is complete.
