How to gather your tax documents on a Mac for your accountant

Make one folder for the tax year, then work through the places tax documents hide on a Mac: Mail, Downloads, Messages, Photos and the paper pile on your desk. Give each file a name that says what it is, check every one with Quick Look, and send the finished set through your accountant’s secure upload page rather than ordinary email. The steps below take you through each part.

Start with one folder

  1. In Finder, open Documents and choose File > New Folder (Shift-Command-N).
  2. Name it for the tax year, for example “Taxes 2025”.
  3. Inside it, make a few subfolders that match how you think: Income, Deductions, Other. If your accountant sent a checklist, use its headings for these names.
  4. Drag the folder into the Favorites section of the Finder sidebar. It is then one click away in every Finder window and every save dialog for as long as you are working on it.

Where tax documents hide on a Mac

Forms arrive by several routes over a couple of months, so they scatter. Work through each source in turn.

  • Mail. Employers, banks and brokerages often email the form or a notice that it is ready. Search Mail for the form name (W-2, 1099, 1098) or for “tax document”. Drag each attachment from the message straight into the right subfolder, or choose File > Save Attachments. How to move a file from email to a project folder has more detail.
  • Downloads. Forms fetched from a bank or payroll website land in Downloads, often with names like “document (3).pdf”. Open Downloads in list view, show the Date Added column and sort by it to find everything from the start of the year.
  • Messages. A scan a family member texted, a photo of a receipt. Drag the attachment out of the conversation into the folder. See how to save a photo or file from Messages.
  • Photos. Receipts photographed with an iPhone end up in your library. Drag them from Photos into the folder and each one becomes a file.
  • Everywhere else. Press Command-Space and type a form number. In a Finder window’s search field, adding kind:pdf narrows the results to PDFs, so “1099 kind:pdf” finds PDFs that mention 1099 in their name or text.

Turn paper into PDFs without a scanner

If an iPhone or iPad is nearby, Continuity Camera scans straight into the folder. Open the tax folder in Finder, Control-click an empty spot in the window and choose Import from iPhone or iPad > Scan Documents. Scan in good light on a dark, plain surface. A crisp scan now saves a request for a better copy later.

Name files so nobody has to open them

Downloaded forms rarely arrive with useful names. A consistent pattern helps your accountant and helps you next year: what it is, who sent it, which year. “1099-INT Credit Union 2025.pdf” tells the whole story before anyone opens it; “document (3).pdf” tells nothing.

Finder can rename many files at once. Select them, Control-click and choose Rename, then use Format to number a set or Add Text to put the year on every name. How to rename a batch of files on a Mac walks through each option.

Check every file before it goes

  1. Select the first file in the folder and press Space to open Quick Look. The arrow keys move through the rest of the folder while the preview stays open.
  2. Check the year. Many forms look almost identical from one year to the next.
  3. Check that every page is there and readable. A blurry phone scan is better redone now than discovered in a back-and-forth later.

Sending the set safely

Tax forms carry your Social Security number, account numbers and income. Ask your accountant how they want to receive them. Many offer a secure upload page or client portal, and that is a better route than ordinary email, where messages and attachments can sit in several mailboxes for years.

If they ask for a single file, Control-click the folder and choose Compress to make a zip. Know that a zip made this way has no password: it bundles the files, it does not protect them. If you need a protected file, Disk Utility can make an encrypted disk image from a folder (File > New Image > Image from Folder, then choose an encryption option). The person opening it needs a Mac and the password, so agree on that first.

After you send, keep the folder. It is your record of exactly what went to your accountant, and it belongs in your Time Machine backup like everything else.

Gathering from five places without losing track

The tiring part is the hunt. One form is in Mail, two are in Downloads, a receipt is in Messages and a scan is in Photos. Each trip means finding the tax folder again, or leaving a trail of files on the desktop to sort later.

Ledge gives the hunt a single drop point. Each time you find a document, drag it up to the notch at the top of the screen and let go. It lands on a shelf that drops from the notch and stays there. Work through Mail, then Downloads, then Messages, adding to the shelf as you go. When the set is complete, open the shelf with Option-Space or a click on the notch and drag the documents off. To be plain about the limits: Ledge does not find, read or sort documents. You choose every file that goes on the shelf. It has no account and no cloud, so nothing about your taxes leaves the Mac until you upload it yourself, and it needs macOS 14 Sonoma or later.

Questions

Is it fine to email tax documents to my accountant?

Use email only if they ask for it and offer nothing better. Ordinary email is not designed for documents carrying your Social Security number. A secure upload page, or an encrypted disk image with the password shared by phone, is the safer choice.

How long should I keep the folder?

Ask your accountant how long to keep records for your situation. Keeping the folder on the Mac and in a backup costs very little, and next year’s folder can follow the same layout.

What if a form never arrived?

Check the sender’s website first. Many banks, brokerages and payroll services post tax forms in a documents or statements section of your account, ready to download into the folder.
